How OmniResponse works
What is OmniResponse?
An AI assistant for replies to customer emails. It reads messages in Gmail, Outlook or any IMAP mailbox and drafts a reply from your own documents: contracts, terms, price lists, house rules or resolutions. OmniResponse is built by Omni Tech sp. z o.o. in Warsaw, Poland.
Does OmniResponse send replies by itself?
No. The draft lands in your mailbox’s Drafts folder, in the same thread as the customer’s message. You review it, edit it if needed and send it yourself.
Which mailboxes does it work with?
Gmail, Outlook (Microsoft 365) and any IMAP account, with no change of email client. You choose which folders OmniResponse monitors.
Does it draft a reply to every email?
No. It recognises spam, notifications and urgent messages, and drafts are created only where someone expects a reply.
Does it replace our CRM, PMS or shop system?
No. It works in your email inbox, alongside the systems you already use.
Knowledge and languages
Where do the answers come from?
From the documents you upload or from connected cloud storage. OmniResponse supports 10 formats: PDF, Word (DOC/DOCX), ODT, Excel (XLSX), RTF, TXT, Markdown and emails (EML/MSG). Scanned PDFs are read by AI, including tables and descriptions of charts.
Can we connect OneDrive, Google Drive, Dropbox or SharePoint?
Yes. Files from these services sync automatically every 30 minutes.
How does it find the right information?
It searches three ways at once: by meaning, by keywords and by exact phrases such as contract numbers. A second AI model then picks the most relevant passages for the draft.
Which language does it reply in?
In the language the sender wrote in. The app interface is available in Polish, English, German and Ukrainian.
Data and security
Do you train AI on our data?
No. We don’t train AI models on your data, and our AI providers are contractually committed not to use it to train their models.
How do you protect our data?
Mailbox and cloud credentials, as well as message and draft content, are encrypted with AES-256-GCM using a separate key for each company. All connections use TLS. Company data is separated at the database level (row-level security), and each company’s knowledge is stored in its own separate collection.
Who can access our account?
Two-factor authentication with an authenticator app is mandatory, with recovery codes. Admin and User roles control who can work in which project, and an audit log records sign-ins, administrator access, encryption-key operations and access to message history.
Are uploaded files checked?
Yes. Uploaded files are scanned for viruses.
Getting started
How much does OmniResponse cost?
We don’t publish a price list. We quote after a short conversation; the price depends on things like the number of mailboxes and the size of your knowledge base.
What does getting started look like?
We start with a 30-minute demo on a sample of your documents and typical customer questions. Then you start on one mailbox, with no change of email client. After the first month we review the result together: the number of drafts and the estimated time saved.
Can we measure the results?
Yes. The analytics dashboard (Professional and above) shows the estimated time saved and the most-used knowledge passages and documents, with CSV and PDF report export.
