FAQs

OmniTokens are the currency that powers operations in OmniResponse. Every time the system generates a draft, searches your knowledge base, or processes a document, it consumes tokens.

How many tokens are consumed:

  • Draft generation – 10 tokens
  • Knowledge fragments search without generation – 5 tokens
  • Knowledge fragment indexation – 1 token

Your plan includes a monthly token allowance. You can track usage in real-time on the Analytics dashboard and purchase additional token packs if needed.

A knowledge fragment is a single, searchable piece of information extracted from your uploaded documents. When you add a PDF, DOCX, or other file to your knowledge base, OmniResponse automatically splits it into smaller chunks — these are fragments.

Each fragment typically contains 200–500 words and represents one coherent topic or section. This structure allows Omni to find and retrieve only the most relevant information when generating responses — instead of scanning entire documents.

Your plan defines the maximum number of fragments you can store. Larger knowledge bases require more packages.

OmniResponse connects to your email account via secure OAuth (Gmail, Outlook) or IMAP protocol. Once connected, you choose which folders to monitor — for example, Inbox or a specific support folder.
When a new email arrives:

  • OmniResponse detects it automatically
  • The AI analyzes the message content
  • It searches your knowledge base for relevant context
  • A draft reply is generated and saved — ready for your review

You stay in control: no email is ever sent without your explicit approval. You can edit any draft before sending.

OmniResponse integrates with OneDrive, Google Drive, Dropbox, and SharePoint. You authorize access and select specific folders to sync with your knowledge base.
Once connected:

  • New and updated files are automatically detected
  • Documents are processed and indexed as knowledge fragments
  • Deleted files are removed from the knowledge base

Sync frequency is set to 30 minutes. This keeps your knowledge base up to date without manual uploads.

When an email needs a response, OmniResponse follows a multi-step process:

  1. Analyze — Omni reads the incoming message to understand the question or request
  2. Search — It queries your knowledge base to find the most relevant fragments
  3. Generate — Using the retrieved context, Omni writes a draft that matches your preferred tone and style
  4. Review — The draft appears in your mailbox, ready for editing or sending

A Project is a workspace that groups together your knowledge base, email integrations, and team members around a specific topic, client, or use case.
Each project has:

  • Its own knowledge base — documents relevant only to that project
  • Dedicated email accounts — inboxes monitored for that context
  • Separate analytics — track performance per project
  • Team access control — assign users to specific projects

For example, you might create separate projects for “Product Support”, “Sales Inquiries”, and “HR Requests” — each with its own documents and email accounts. When Omni generates a draft, it only searches the knowledge base of the relevant project, ensuring accurate and focused responses.
Projects help you organize work, keep data separated, and give teams access only to what they need.
